HRMS Demo and Free Trial in India: What to Test Before You Buy

A vendor demo shows you the script, not the software. Here's a 12-point test plan, the questions to ask and how PeopleVio's demo works.

Most HRMS demos are designed to impress, not to inform. The vendor drives, the data is perfect, every screen loads instantly, and you leave remembering the nice dashboard rather than whether the software can run your payroll. The mistakes that hurt (a payslip that's wrong, an approval that goes to the wrong person, a check-in that can be faked) never show up in a rehearsed demo.

This guide gives you a plan for the demo or trial, whichever a vendor offers: what to prepare, what to test and what to ask. It also explains how PeopleVio's demo works, since it is set up differently from a self-serve free trial.

Demo vs free trial: what you'll actually get

Indian HRMS vendors usually offer one of three things:

  • A guided demo. A sales or product person walks you through a prepared account. Good for a first look, poor for testing.
  • A free trial. Time-limited access, often 7 to 30 days, sometimes with limits on employees or features. Good for testing, but only if you use it with real data.
  • A sandbox or workspace set up for you. The vendor creates a workspace with your company details so you can test your own structure. This is the most useful of the three.

A trial you never log into tests nothing, and a demo you don't prepare for tests only the vendor's script. Whichever you get, treat it as a test with a checklist.

How PeopleVio's demo works

PeopleVio does not run a self-serve free trial. You request a demo, and the team sets up a dedicated workspace for your company, with your first admin login, isolated from every other company on the platform. According to the product's own setup notes, the company and its first admin account are ready the same day you reach out, after which you can start adding employees and running attendance.

That means you test in a real workspace with your own employees and locations, instead of a shared demo account. Pricing is flat per active employee and shown on the pricing page, so you can calculate the cost before the demo.

Before the demo: prepare

  1. Write down your five must-haves. For example: multi-location attendance, payroll with TDS, comp off, expense reimbursement, offer letters. Anything else is a bonus.
  2. Get real data ready. Ten to twenty employees with real salary structures (anonymised if needed), your leave policy and your holiday list.
  3. Decide who joins. HR, the person who runs payroll, one manager who approves leave and someone from finance or IT. The manager's view matters as much as HR's.
  4. List your edge cases. A mid-month joiner, an employee on unpaid leave, someone who worked on a holiday, a reimbursement, an employee who resigns.
  5. Note your compliance needs. PF, ESI, Professional Tax, TDS, gratuity, and which of these you expect the software to handle.

The 12-point test plan

Run these in the trial or ask the vendor to show them live on your data.

  1. Add an employee end to end. Time how long it takes to create a profile, upload documents and give login access.
  2. Set up your locations. Add every office or site with the right radius. Then check in from inside and outside each one.
  3. Check whether attendance is verified on the server. Ask directly whether the distance check happens on the device or the server. Our geofenced attendance guide explains why this matters.
  4. Apply for leave and approve it as a manager. Do it from a phone browser or app, not just a desktop.
  5. Work on a holiday and request comp off. Confirm the day-back is tracked and redeemable.
  6. Correct a wrong attendance entry. See how an admin fixes a missed check-in and whether the change is visible.
  7. Run payroll for a test month. Include a joiner, an unpaid absence and a custom earning such as an incentive.
  8. Read the payslip line by line. Check every number by hand against your own calculation.
  9. Test TDS. Ask for the old and new regime calculation for one employee and compare it with your accountant's figure.
  10. Submit and approve an expense claim. Confirm it flows into the next payroll run.
  11. Release an offer letter and process a resignation. Check what the candidate sees and what happens to the employee record.
  12. Export your data. Ask how you would get every record out if you left. This is your exit test.

Questions to ask in the demo

  • What are the exact limits of the trial, in employees, features and days?
  • Which of my must-haves are built, and which are on a roadmap?
  • What does the software not do that a competitor does?
  • How are PF, ESI, Professional Tax and gratuity handled, calculated by the software or by us?
  • How are rule changes shipped? For example, how quickly did you handle the EPF ceiling change in September 2026?
  • Who supports us during setup and how do I reach them?
  • What is the full price at my headcount and at 1.5 times my headcount, including any modules sold separately?
  • Where is our data stored and how is it isolated from other customers?

Red flags during a demo

  • The vendor won't use your data. If they insist on their own account, the demo is a script.
  • Vague answers on compliance. "We handle all statutory needs" isn't an answer. Ask which ones and how.
  • Pricing you can't get in writing. Per-employee prices with hidden add-ons are common.
  • No way to export data. Lock-in starts here.
  • Approvals only on desktop. Your managers will not use it.
  • Pressure to sign this week. A good product survives a proper trial.

An honest note on PeopleVio's fit

Go into a PeopleVio demo knowing what it covers and what it doesn't, so you don't waste time.

It covers geofenced attendance across multiple locations, biometric machine punches from ZKTeco-protocol machines (ZKTeco, eSSL, Realtime, Mantra and similar), leave and comp off, payroll with attendance proration and PDF payslips, TDS with old and new regime rules (when enabled in company settings), expense claims, offer letters, resignations, assets, an org chart and multi-company isolation.

It calculates PF and ESI with its EPFO and ESIC modules, but it does not currently include Professional Tax, gratuity, shift scheduling, overtime rules, performance reviews, applicant tracking, an installable mobile app or multi-level approval chains. If any of these are on your must-have list, say so at the start of the demo. We would rather you find the right tool than the wrong one.

A worked example: a 30-person company running a two-week test

  • Day 1: request the demo, share headcount and locations, and get the workspace.
  • Days 2 and 3: add 30 employees, set locations and leave balances, load the holiday calendar.
  • Week 1: run real check-ins for a handful of staff, approve leave and test comp off.
  • Week 2: run a test payroll in parallel with your current process and compare each payslip.
  • Cost check: at 30 employees the 26 to 100 band applies, ₹49 per employee per month on monthly billing (₹41 on yearly), about ₹1,470 a month or ₹1,230 billed yearly, with all modules included. The band rate applies to your total active employee count, so check the pricing page for current numbers.

Common mistakes in HRMS trials

  • Testing with fake data. Use real structures, or the trial proves nothing.
  • Only HR tests it. Managers and employees find the friction that HR won't.
  • Skipping the payslip check. Compare every payslip line with your own numbers.
  • Comparing features, not outcomes. Ask "can it run our payroll correctly?" rather than "does it have a payroll module?"
  • Ending the trial without a decision date. Set the decision meeting before the trial starts.

Frequently asked questions

Does PeopleVio offer a free trial? PeopleVio doesn't run a self-serve free trial. You request a demo and the team sets up a workspace for your company, usually the same day.

How long does it take to set up a PeopleVio workspace? The company and its first admin account are ready the same day you reach out, per the product's setup notes. Adding employees and configuring locations and leave takes longer, depending on your headcount.

How long should an HRMS trial last? Long enough to run one full payroll cycle in parallel, which usually means 2 to 4 weeks. A shorter trial can't test payroll.

What should I test first in an HRMS trial? Attendance and payroll, because they touch every employee every month. Test your real locations, an unpaid absence, a joiner and a custom earning.

Should I test the mobile experience? Yes. Managers approve on the move. PeopleVio is a responsive web app with no installable app yet, so test approvals from a phone browser.

How much does an HRMS cost for 50 employees? On PeopleVio, 50 employees falls in the 26 to 100 band at ₹49 per employee per month (₹41 yearly), so about ₹2,450 a month on monthly billing. Compare total cost, including any separately sold payroll module, for every vendor.

Can I test PF and ESI in the trial? Ask each vendor to show it on your data. In PeopleVio, ask for the EPFO and ESIC modules to be switched on in your trial workspace, run one month's payroll and compare the ECR and ESIC return files with your current ones.

What should I ask before signing? The exact price at your headcount and at 1.5 times it, what's excluded, how you export your data, and how rule changes are handled.

The bottom line

A good HRMS evaluation is a test you design, not a demo you watch. Prepare real data, run your edge cases, check every payslip line and involve the managers who will use it daily. PeopleVio's demo gives you a dedicated workspace with your own structure, and it is upfront about what it doesn't cover, so you can decide quickly whether it fits.
