What is performance management software?
Performance management software helps teams set goals, track progress and run fair reviews — so appraisals are based on what actually happened during the year rather than what a manager remembers in March.
PeopleVio supports quarterly goals with measurable key results: each key result has a target, a current value and a unit, progress rolls up to the goal, and each goal is marked on track, at risk, off track or done. When it's time to review, HR starts a cycle for everyone. Employees write a self-review with a 1–5 rating, their achievements and areas to improve, and the manager or HR gives the final rating and comments.
Recognition and learning sit alongside: colleagues thank each other on a kudos wall with badges and a monthly leaderboard, and HR assigns courses and tracks completion. It's a lightweight way for Indian SMEs to run OKRs and appraisals without a separate tool.
Because goals, reviews and recognition sit in the same HRMS as attendance and payroll, the record of each employee's year is in one place when it's time to talk about growth and increments.

|---|---|---|
| Goals | Set once, forgotten | Quarterly goals with tracked key results |

OKRs without a separate tool
OKRs — objectives and key results — work best when they're simple and visible. In PeopleVio, each employee has goals for a period such as a quarter. Each goal has measurable key results with a target, a current value and a unit: for example, "Upsell to existing clients: 6 of 8 accounts" or "Close support tickets within 24 hours: 42 of 50".
As key results are updated, progress rolls up to the goal automatically. Each goal is also marked on track, at risk, off track or done, so managers can see where to help before the quarter ends. Managers and HR see their team's goals together.
Running a review cycle
When it's time for a half-yearly or annual review, HR starts a review cycle for everyone in one step — for example, "FY 2026-27 H1". Each employee then writes a self-review: a rating from 1 to 5, their key achievements and the areas they want to improve.
Once the self-review is in, the manager or HR completes the review with their own 1–5 rating and comments, and the review is marked completed. Every review stays on the employee's record, so the next cycle starts from what was said last time rather than from memory.
Recognition all year round
Reviews happen once or twice a year; good work happens every day. PeopleVio's kudos wall lets colleagues thank each other with a badge — such as Team Player or Above & Beyond — and a short message. A monthly leaderboard shows who's been recognised most.
Recognition builds a record of contributions that a manager might not see directly, which helps make reviews fairer, especially for quieter or remote team members.
Learning that follows the review
Development plans need somewhere to go. PeopleVio's learning module lets HR publish courses as links to videos, documents or external courses, with a category, duration, due date and a mandatory flag. Courses can be assigned to everyone or to selected people, and completion is tracked per course.
Pair it with engagement surveys — rating, multiple-choice and free-text questions, anonymous when you want honest answers — to understand how the team feels, not just how it performs.
Writing key results that work
OKRs fail most often because key results are vague. "Improve customer service" can't be tracked; "Resolve 90% of tickets within 24 hours" can. In PeopleVio, every key result has a target, a current value and a unit, which nudges teams towards measurable results from the start.
- Keep 3 to 5 goals per person per quarter
- Give each goal 1 to 4 key results with a number and a unit
- Agree goals with the employee rather than assigning them
- Update progress during the quarter, not only at the end
- Mark goals at risk early so managers can help
- For hard-to-measure roles, use service levels such as turnaround time or accuracy
Linking reviews to increments
Most Indian companies revise salaries once a year, usually in April, and link the increment to the annual rating. A clear rating scale and a simple increment matrix — a percentage range for each rating — make those decisions consistent across teams.
PeopleVio gives you the inputs: goals with recorded progress, self-reviews and manager ratings for every employee, and a history of past cycles. Once increments are decided, update salary structures in PeopleVio and payroll uses the new salary from the next run, with arrears added as one-off adjustments if the increment is backdated. Our guides on the appraisal process and increment calculation walk through both steps.
Making reviews fair
Employees accept tough feedback when they believe the process is fair. The biggest threats to fairness are well known: recency bias, where the last month outweighs the whole year; leniency, where some managers rate everyone highly; and visibility bias, where quieter or remote employees are overlooked.
PeopleVio's structure counters each of these. Goals set at the start of the quarter, with progress recorded during it, give managers evidence from the whole period. Self-reviews make sure the employee's own view of their achievements is on record before the manager rates them. And kudos from colleagues capture contributions a manager might not see. HR can review ratings across teams before increments are decided, using the same records.
Getting started with performance management
If your company has never run structured reviews, start small. In the first quarter, ask each employee to agree three goals with measurable key results with their manager. At the end of the quarter, run a short review cycle: a self-review with a 1–5 rating and two or three lines on achievements and improvements, followed by the manager's rating and comments.
After one or two cycles, the habit is in place and the records are useful for increment decisions. Add recognition and learning as the team gets comfortable — none of it requires a separate tool or extra cost.
Performance management for small teams
Small companies often assume formal performance management is only for large organisations. In practice, small teams benefit even more: each person's work has a bigger impact, and founders who know everyone personally can easily rate on impression rather than evidence.
A lightweight approach works well. Quarterly goals give everyone clarity on what matters most. A short self-review and manager review twice a year creates a record without taking days of effort. Recognition on the kudos wall keeps contributions visible between reviews. And because everything sits in the same HRMS as attendance and payroll, there's no separate tool to buy, learn or maintain.
The result is a performance process that takes a few hours a quarter, gives every employee clear expectations, and makes the annual increment conversation a matter of reviewing the record together.
