What is expense reimbursement software?

Expense reimbursement software replaces bills on WhatsApp and reimbursement spreadsheets with a simple flow: the employee submits a claim with a receipt, a manager or HR approves it, and the company pays it back.

In PeopleVio, every claim has a date, an expense type, an amount, a description and a receipt file. Admins approve or reject it with a note. Approved claims that haven't been paid are swept into the employee's next payroll run automatically and shown as reimbursements on the payslip — separate from salary, so they don't change PF, ESI or TDS.

Each expense is linked to the payslip that paid it, so re-running payroll never pays a claim twice, and employees can see the status of everything they've submitted. It's designed for Indian SMEs with field, sales or travelling staff who want reimbursements handled in the payroll they already run.

Because reimbursements are paid through the payroll you already run, there are no separate bank transfers to make and no second spreadsheet to keep in sync.

Expense types that fit Indian businesses

Most reimbursement claims in Indian companies fall into a handful of categories. PeopleVio comes with the ones that matter, so claims are easy to sort and review: travel, client entertainment, fuel and conveyance, site visit, marketing, communication, office supplies and other.

Each claim records the expense date, type, amount, a short description and a receipt file — a photo or PDF of the bill. A single claim can be for up to ₹5,00,000, which catches obvious data-entry mistakes without getting in the way of real expenses.

A simple approval workflow

Approval is where most expense processes slow down. In PeopleVio, submitted claims appear in the admin's approvals with the receipt attached. The admin approves the claim or rejects it with a note explaining why — for example, a missing bill or an amount above your policy limit. The employee sees the decision and the note in their own list of claims.

Every decision records who reviewed it and when, so if a question comes up at audit time, the answer is on the claim itself rather than in someone's WhatsApp history.

How reimbursements reach the payslip

Once a claim is approved, nobody has to remember to pay it. When payroll runs for the month, PeopleVio picks up every approved claim that hasn't been paid yet for each employee and adds it to their net pay as a reimbursement. The payslip lists each reimbursed expense by type, separately from salary earnings.

For example, an employee with approved claims of ₹1,200 for conveyance and ₹2,800 for a client visit will see ₹4,000 added to net pay as two reimbursement lines. Because reimbursements are kept out of earnings, they don't change PF, ESI or TDS. Each expense is then linked to that payslip, so regenerating payroll doesn't pay it a second time.

Writing an expense policy that works with the software

Software works best alongside a short written policy: which expenses are reimbursable, the limits by category, what proof is needed, the deadline for submitting claims and when they're paid. PeopleVio handles submission, approval and payment; your policy decides what gets approved.

Genuine business reimbursements against bills are generally not taxable salary, while fixed allowances paid without bills generally are — another reason to route real expenses through claims with receipts. Our guide to writing an expense reimbursement policy covers limits, documentation, GST invoices and a sample policy you can adapt.

Expense management for field and sales teams

Field sales, service engineers and site supervisors spend company money every week — on travel, fuel, client meetings and small purchases. For them, the biggest frustration is waiting weeks to be paid back; for finance, it's receipts that arrive months later, if at all.

With PeopleVio, the employee submits the claim from their phone browser as soon as they spend, photographing the receipt on the spot. The manager or HR approves it within days, and it's paid with the next salary. Because the same portal handles attendance, field staff can check in with geofenced attendance at a site and file their travel claim for the trip in the same place.

The result is faster reimbursement for employees, complete records for finance, and no separate payment run every week.

Problems expense software solves

Expense reimbursement looks small until you add up the time it takes. These are the problems Indian SMEs most often tell us about — and how PeopleVio deals with each.

  • Bills lost in WhatsApp chats — every claim carries its receipt
  • No idea what's pending — every claim has a status, visible to the employee and admin
  • Approvals given verbally — decisions are recorded with who approved and when
  • Separate bank transfers for every claim — approved claims are paid with salary
  • The same claim paid twice — each expense is linked to the payslip that paid it
  • Reimbursements mixed into salary — they're shown separately and kept out of PF, ESI and TDS

Reimbursements and tax: keeping them separate

One of the most common payroll mistakes in small companies is mixing reimbursements into salary — adding a lump sum to "other allowances" for the month, or paying a fixed monthly "reimbursement" without bills. Both make it hard to tell what is taxable salary and what is repayment of business expenses.

PeopleVio keeps them apart. Salary components are earnings; approved expense claims are reimbursements, shown on separate lines of the payslip and excluded from the PF, ESI and TDS calculations. Each reimbursement is backed by a claim with a date, type, amount and receipt. When your CA or auditor asks what a payment was for, the answer is on the claim — and when an employee asks why their net pay is higher this month, the answer is on the payslip.

Setting up expense claims in a day

There's very little to configure before employees can start claiming. Expense types are built in, employees already have portal access, and approved claims are picked up by payroll automatically. Most companies simply share their expense policy, tell employees to submit claims with receipts in PeopleVio from a set date, and decide who reviews them.

From the next payroll, approved claims appear on payslips without any extra step. If you're moving from a spreadsheet, pay any claims already approved under the old process first, then switch over cleanly so nothing is paid twice.

Approving expenses consistently

Software makes approval fast; a few habits make it fair. The most important is consistency: two employees making the same claim should get the same answer, whoever reviews it.

Write down your limits by category — for example, hotel per night, meals per day, local conveyance — and apply them every time. Reject claims without a usable receipt, with a short note explaining what's missing so the employee can resubmit. Review claims within a few working days, so they're approved in time for the next payroll. And look at claims in context: a sudden jump in one person's travel claims may be a busy month or a question worth asking.

Because every decision in PeopleVio records the reviewer, the date and any note, it's easy to check that approvals follow your policy — and to show employees that they do.

Expense reimbursement software — frequently asked questions

How are approved expenses paid?

Approved, unpaid claims are added to the employee's next payroll as reimbursements and shown separately on the payslip.

Do reimbursements affect PF, ESI or TDS?

No. PeopleVio keeps reimbursements separate from salary earnings, so they aren't included in PF, ESI or TDS calculations.

Yes. Each claim can include a receipt file, which admins see while reviewing.

Can I set spending limits?

Not automatically yet. Apply your policy's limits during approval.

A receipt can be attached to every claim. Whether it's mandatory is up to your policy — admins can reject claims without one.

Which expense types are available?

Travel, client entertainment, fuel and conveyance, site visit, marketing, communication, office supplies and other.

Can employees see the status of their claims?

Yes. Employees see every claim they've submitted with its approval status and any note from the reviewer.
