What is payroll software?
Payroll software automates the monthly salary run: it takes each employee's salary structure, adjusts it for the days actually worked, deducts PF, ESI and TDS, adds reimbursements and produces payslips. For Indian companies, the hard part isn't the arithmetic — it's keeping attendance, leave, statutory rules and payslips consistent with each other every single month.
PeopleVio runs payroll inside the same system as attendance and leave, so there's no export-import step where numbers drift. Loss of pay comes from the attendance calendar the employee already sees. TDS uses the regime and declarations the employee submitted and HR approved. PF and ESI are calculated on wages actually earned, and the same run produces the files you upload to EPFO and ESIC.
It's built for small and growing Indian businesses — from 10 employees on a single salary sheet to a few hundred across locations — that want payroll to take an hour, not a week, and want every payslip to be explainable.
Payroll software features
Everything below is live in PeopleVio today, in the same portal as the rest of your HR.
Salary structures
Basic, HRA, other allowances and fixed deductions per employee, plus month-specific pay components for incentives, commissions or arrears that never carry over by mistake.
Attendance-linked proration
Absent days, half-days and loss of pay come straight from attendance and leave records, so paid days always match the calendar employees see.
TDS under both regimes
Optional TDS on salary with old and new regime slabs, driven by employee tax declarations that HR approves. Form 16 PDFs for any financial year.
PF and ESI in the same run
With EPFO and ESIC switched on, payroll calculates PF on earned wages with your company's EPF choices, and ESI on the components you configure.
Reimbursements without spreadsheets
Approved expense claims are swept into the next payroll run as reimbursements — added to net pay, kept separate from earnings.
PDF payslips, emailed
Every employee gets a PDF payslip by email and can download it from the portal, with earnings, deductions, PF, ESI, TDS and reimbursements itemised.

Add incentives, arrears or recoveries as one-off adjustments; approved expenses are picked up on their own.
- STEP 04
Generate and send
Run payroll, review the totals and send PDF payslips to every employee in one go.
Who PeopleVio's payroll software is for

Growing teams with PF and ESI
Once you cross the PF and ESIC thresholds, payroll and statutory files come from the same run.
Companies with variable pay
Incentives, commissions and arrears as one-off components, without touching the fixed salary structure.

Indian payroll compliance, handled in the same run
Indian payroll isn't just salary minus deductions. Every month you need the right paid days, PF on the right wages, ESI for employees within the ceiling, TDS that reflects each employee's regime and declarations, and payslips that show all of it clearly. When these live in different spreadsheets, a single change — a late joiner, a loss-of-pay day, a revised declaration — has to be updated in four places.
In PeopleVio, one payroll run does all of it. Paid days come from attendance and leave. PF is calculated with your establishment's EPF settings, on earned wages after loss of pay. ESI is calculated on the components you configure, with contribution periods tracked. TDS is projected for the year from the salary structure and the employee's approved declaration, under the old or new regime, and recalculated each month as tax already deducted builds up.
- PF: employee and employer shares, EPS, EDLI, admin charges and VPF
- ESI: employee and employer contributions on configured wage components
- TDS: old and new regime slabs, standard deduction, 80C, 80D, 80CCD(1B) and HRA exemption
- Form 16 PDFs for any financial year
- Professional tax entered as a fixed deduction in the salary structure
A worked example: from attendance to payslip
Take an employee with a basic salary of ₹20,000, HRA of ₹10,000 and other allowances of ₹10,000 — a gross of ₹40,000 a month. In a 30-day month, they have 2 days of loss of pay in the attendance calendar, and an approved fuel expense of ₹1,500.
PeopleVio prorates each fixed component for the 28 paid days, so earned gross is ₹37,333. With PF on basic, PF wages are ₹18,667 and the employee's 12% PF is ₹2,240. Gross is above the ESI ceiling, so there's no ESI. Under the new regime, annual income at this level is within the rebate, so TDS is nil. The ₹1,500 expense is added as a reimbursement, separate from earnings.
Net pay comes to ₹37,333 − ₹2,240 + ₹1,500 = ₹36,593, and the payslip shows every line — earnings, PF, the 2 loss-of-pay days and the reimbursement — so the employee can see exactly how the number was reached. The 2 days are also reported as non-contributory days in that month's ECR.
Moving payroll from Excel to PeopleVio
Most companies come to PeopleVio from an Excel salary sheet or a basic payroll tool. The move is usually done in a few steps, and you can run one month in parallel to compare the numbers before you switch over fully.
- Import employees in bulk from a spreadsheet, with joining dates, departments and salary details — an exported file can be edited and imported again
- Set each employee's salary structure: basic, HRA, other allowances and fixed deductions
- Set office timing, weekly offs, holidays and leave quotas so attendance and leave drive paid days
- Switch on TDS, EPFO and ESIC when you're ready, and add UAN and ESI details to employee records
- Run the first payroll, compare it with your existing sheet, and send payslips once it matches
Who can see and run payroll
Salary data is sensitive, so access is controlled by role. PeopleVio has eight standard roles — including Payroll Admin — and lets you create your own, each with view or manage access per section. A payroll admin can run salaries without seeing recruiting; a manager can approve leave without seeing anyone's pay.
Every company's data is isolated at the database level, administrative actions are recorded in an audit log, and role changes apply immediately. Employees only ever see their own payslips and tax documents.
A monthly payroll routine that takes an hour
Payroll goes wrong when it's rushed at the end of the month. With attendance, leave and expenses already in PeopleVio, the monthly routine becomes a short checklist rather than a week of reconciliation.
In the last days of the month, make sure leave requests, attendance corrections and comp offs are approved, and add any one-off earnings or deductions — incentives, arrears, recoveries — for the month. Check new joiners have salary structures and leavers have their last working day recorded. Then run payroll: PeopleVio prorates every employee for paid days, calculates PF, ESI and TDS, and adds approved reimbursements.
Review the totals and any unusual payslips — a zero net pay, a big change from last month, an employee with many loss-of-pay days. Once it looks right, send payslips; every employee gets a PDF by email and can download it from the portal. With EPFO and ESIC switched on, download the ECR and the ESIC return, pay the challans by the 15th and mark the month paid.
- Approve pending leave, corrections and comp offs
- Add the month's incentives, arrears and recoveries
- Run payroll and review exceptions
- Send payslips
- File PF and ESI and record challans by the 15th
Payroll for 10, 50 or 300 employees
A 10-person company and a 300-person company need different things from payroll software. Small teams usually want speed and simplicity: one person runs payroll alongside everything else, so it has to be quick and hard to get wrong. PeopleVio's salary structures, attendance-linked proration and emailed payslips cover that without setup projects.
As teams grow past 20 employees, PF becomes mandatory, and from 10 employees in covered areas, so does ESIC — at which point statutory files and challans matter as much as the salary itself. Larger teams also need control over who sees what: roles with view or manage access per section mean payroll can be delegated without exposing salaries to everyone in HR.
Because pricing is per active employee, with lower rates as the team grows, you don't pay for capacity you aren't using — and you don't need to change systems as you scale.
Payroll software price in India
PeopleVio is priced per active employee per month, starting at ₹59 on monthly billing or ₹49 billed annually, with lower rates for larger teams. Here's what a typical team pays each month:
| Active employees | Monthly billing | Yearly billing (per month) |
|---|---|---|
| 20 | ₹1,180 | ₹980 |
| 50 | ₹2,450 | ₹2,050 |
| 100 | ₹4,900 | ₹4,100 |
Prices exclude GST. See the pricing page for every tier.
Built for Indian teams
- Optional auto-absent rule — working days with no attendance record can count as unpaid, while weekly offs, holidays, leave and comp-off days never do.
- Payroll never changes silently: TDS, EPFO and ESIC are each switched on per company, only when an admin opts in.
- Roles decide who can run payroll — someone can process salaries without access to recruiting or performance.
Good to know before you buy
- — Professional tax isn't calculated — add it as a deduction in the salary structure.
- — TDS doesn't handle surcharge or income from a previous employer in the same year.
- — Statutory bonus, leave encashment and full-and-final amounts are added as one-off adjustments rather than calculated automatically.
Payroll software — frequently asked questions
Does PeopleVio calculate salary from attendance?
Yes. Payroll prorates each fixed component for absent days, half-days and loss of pay recorded in attendance and leave, so paid days match the attendance calendar.
Can PeopleVio deduct TDS from salary?
Yes. Once an admin switches on TDS, payroll calculates monthly TDS under the old or new regime using each employee's approved tax declaration. Form 16 PDFs can be downloaded for any financial year.
How are incentives and arrears paid?
Add them as one-off pay components for the month you choose. They appear on that month's payslip and don't carry over to the next month.
Does PeopleVio calculate professional tax?
Not yet. Add professional tax as a fixed deduction in the employee's salary structure.
How does PeopleVio handle employees who join mid-month?
Payroll prorates salary for the days the employee was actually employed in the month, along with any loss of pay after joining.
Can I import employees and salaries from Excel?
Yes. Employees can be imported in bulk from a spreadsheet, and an exported file can be edited and imported again.
Can payroll be re-run if something changes?
Yes. Payslips can be regenerated for the month. Expenses already reimbursed stay linked to their payslip, so they aren't paid twice.
Is payroll data secure?
Access is controlled by roles with view or manage permissions per section, every company's data is isolated at the database level, and administrative actions are recorded in an audit log.
