What is recruitment software?
Recruitment software — often called an applicant tracking system or ATS — keeps every opening and candidate in one place so hiring doesn't depend on someone's inbox. For a small business, the goal isn't enterprise features; it's knowing where every candidate stands and making offers quickly.
PeopleVio's recruiting module gives you job openings with department, location and employment type, and a pipeline that moves candidates from Applied through Screening, Interview and Offer to Hired or Rejected. Resumes, 1–5 star ratings and interview notes stay on each candidate, visible to the people involved.
When you're ready to hire, release an offer letter with the salary breakup and your own terms. The candidate accepts or declines online after entering a one-time code sent to their email, and an accepted offer becomes an employee record in one click — ready for onboarding, attendance and payroll.
Because recruiting lives in the same HRMS as everything else, there's no separate subscription, login or data export between hiring and the employee's first day.

Excel and manual process vs PeopleVio
| Task | Excel / manual | With PeopleVio |
|---|---|---|
| Tracking candidates | Spreadsheets and email threads | A pipeline board from Applied to Hired |
| Interview feedback | Lost in chats | Ratings and notes on each candidate |
| Offer letters | Word files and scanned signatures | PDF offers accepted online with an email OTP |
| Joining | Details typed in again | Accepted offer converted to an employee in one click |
A hiring pipeline you can see at a glance
Every candidate in PeopleVio sits in one stage of a simple pipeline: Applied, Screening, Interview, Offer, and finally Hired or Rejected. The board view shows how many people are at each stage for an opening, so you can tell immediately whether a role is stuck at screening or waiting on offers.
Openings carry a department, location and employment type, and can be closed once filled. For small businesses that hire a few roles at a time, this replaces the spreadsheet of names and the inbox full of resumes with something everyone on the hiring team can follow.
Better decisions with ratings and notes
Hiring mistakes often come from feedback that never got written down. PeopleVio keeps the candidate's resume, a 1–5 star rating and interview notes together on the candidate's record. After each conversation, the interviewer adds their notes, so the next person in the process — and the person making the final decision — sees the full picture.
Access to recruiting is controlled by role, so hiring managers and HR can work on candidates without seeing payroll or other sensitive HR data.
Offer letters candidates accept online
When you've chosen a candidate, create an offer with their details, designation, department, joining date and salary breakup — basic, HRA and other allowances. Your company's terms and conditions, set once in settings, are printed as a numbered list on the PDF. You can edit the offer until you release it.
Releasing it sends the candidate an email with a secure, unguessable link. They review the offer and accept or decline after entering a one-time code sent to their email, so only the candidate can respond. Every offer is tracked as draft, released, accepted, declined or withdrawn, with the decline reason when one is given.
From accepted offer to day one
An accepted offer becomes an employee record in one click, carrying over the candidate's details, designation, department, joining date and salary structure — with the link between the offer and the employee kept on record. From there, the onboarding checklist starts, the new hire completes their profile through self-service, and the salary structure is ready for their first payroll.
Because hiring, onboarding, attendance and payroll are in the same system, nothing is typed twice between the offer and the first payslip.
A hiring process for small businesses
Small companies rarely need an enterprise applicant tracking system. They need a short, repeatable process that doesn't depend on one person's inbox — and that ends with the new hire set up correctly for payroll.
- Write the role: responsibilities, must-have skills and salary range
- Open the role in PeopleVio with department, location and employment type
- Add candidates as applications arrive, with their resumes
- Screen quickly and move candidates to Screening or Rejected
- Interview with a consistent set of questions and record notes and a rating
- Choose the candidate and release an offer letter
- Convert the accepted offer to an employee and start onboarding
Spreadsheet hiring vs an ATS
A spreadsheet works for one or two openings. Beyond that, the problems pile up: candidates fall through the cracks, nobody knows who interviewed whom, feedback lives in chats and offer letters are edited copies of the last one.
An ATS keeps the whole process in one place. In PeopleVio, every candidate has a stage, a resume, a rating and notes; every offer has a status; and the person making the final call sees all of it. Because recruiting is part of the same HRMS as onboarding, attendance and payroll, there's no separate tool to pay for, and no data to retype when a candidate joins.
Collaborating with hiring managers
Hiring is a team effort: HR sources and screens, hiring managers interview, and a founder or department head often makes the final call. When feedback is scattered across chats and calls, the decision ends up being made on the loudest opinion rather than the evidence.
In PeopleVio, everyone involved sees the same candidate record — resume, stage, star rating and interview notes — and adds to it after each conversation. Access is controlled by role, so a hiring manager can work on candidates without seeing payroll or other employees' data. When it's time to decide, the comparison is on the screen, not in someone's memory.
Offer letters that match payroll
A frequent source of first-month complaints is a salary that doesn't match the offer letter. Because offers in PeopleVio are created with the same salary components used in payroll — basic, HRA and other allowances — and an accepted offer pre-fills the new employee's record, the structure in the offer is the structure in the first payroll.
Your terms and conditions are set once and printed on every offer, so probation, notice period and other clauses are consistent for every hire. And because the candidate accepts online with an email one-time code, you have a clear record of when and how the offer was accepted.
What a small-business ATS should — and shouldn't — do
Enterprise recruiting platforms come with careers sites, job-board integrations, assessments, scheduling and analytics. For a company hiring a handful of roles a quarter, most of that goes unused while the subscription keeps running.
What small businesses actually need is simpler: one list of open roles, a clear view of where every candidate stands, a place for resumes and interview feedback, professional offer letters, and a smooth handover to onboarding and payroll. That's what PeopleVio's recruiting module is built around, as part of the HRMS you already use for attendance, leave and payroll — rather than another tool with its own login and bill.
If you later need a public careers page or job-board posting, you can keep advertising where you do today and still track every candidate in PeopleVio's pipeline.

Built for Indian teams
- Roles decide who can see recruiting — HR can hire without seeing payroll, and vice versa.
- Only the candidate can accept an offer: the response page needs a one-time code sent to their email.
- Offers are tracked as draft, released, accepted, declined or withdrawn, with decline reasons.
Good to know before you buy
- — There's no public careers page or job-board posting yet — add candidates to the pipeline yourself.
- — Interview scheduling and calendar invites aren't built in.
- — Background verification is done outside PeopleVio.
