What is an employee self-service portal?
An employee self-service portal (ESS) lets employees handle their own HR tasks — attendance, leave, payslips, tax declarations, expenses and personal details — without asking HR every time.
PeopleVio's portal works from any browser, including on a phone. Employees check in and out, see their attendance calendar and request corrections, apply for full or half-day leave with their balance in view, request and redeem comp off, download payslips and Form 16, choose their tax regime and declare investments, submit expenses with receipts and see which company assets they hold.
Self-service doesn't mean losing control. Every change to official data is a request — profile updates, corrections, comp offs, expenses and resignations stay pending until an admin approves them — and roles decide who can approve what.
For HR teams, the payoff is time: fewer requests for payslip copies, leave balances and Form 16, fewer follow-up messages about expenses and corrections, and one queue for every approval. For employees, it's speed and transparency — they can see their own records whenever they need to, from any device. And because everything runs in the browser, there is no app to install, update or support — employees simply log in to the same portal on their phone, tablet or computer.

What employees can do on their own
An employee self-service portal works when it covers the things employees actually ask HR for. In PeopleVio, that's almost everything day-to-day.
- Check in and out, with a live status and running work duration
- View the month's attendance calendar and request corrections
- Apply for full or half-day leave with the balance in view, and cancel pending requests
- Request comp off for weekly-off or holiday work, and redeem it
- Download payslips for any month and Form 16 for any financial year
- Choose the tax regime and declare investments and rent
- Submit expense claims with receipts and track their status
- See assigned company assets, raise helpdesk tickets and give kudos
- Request profile changes and submit a resignation
Approval-first: control without the paperwork
Self-service doesn't mean employees edit official records. In PeopleVio, every change to official data is a request: profile updates, attendance corrections, comp offs, expenses and resignations stay pending until an admin approves them. Admins see all of these in one pending-approvals queue on their dashboard.
Roles decide who can approve what. A manager can approve leave without seeing payroll; a payroll admin can process salaries without touching recruiting. Every role change is recorded in the audit log.
Works on any phone, no app to install
PeopleVio is a responsive web app, so the portal works in the browser on any phone, tablet or computer. There's nothing to download from an app store and nothing to update. Geofenced check-in uses the phone browser's location, validated on the server.
For field and remote employees, this means everything — attendance, leave, payslips, expenses — is available wherever they are. For HR, it means one portal for everyone, without supporting different app versions.
Secure access for every employee
Admins add employees by email. Each employee receives a welcome email with a temporary password and must set their own at first login. Employees only ever see their own payslips, tax documents and personal records.
Every company's data is isolated at the database level, and the employee dashboard shows each person their own pending items, upcoming birthdays and work anniversaries, and company announcements — so the portal is useful every day, not just on payday.
Rolling out self-service to your team
Self-service only saves time if employees actually use it. A short rollout plan makes the switch from asking HR to doing it yourself.
- Add employees by email so each gets a welcome email and temporary password
- Run a 15-minute walkthrough: check in, apply for leave, download a payslip
- Post an announcement explaining what's now available in the portal
- Ask employees to complete their profile and upload documents in the first week
- Point every HR request back to the portal for the first month
- Collect feedback with a quick survey after a month
Self-service for office, field and factory staff
Different employees use self-service differently. Office staff mostly use it for leave, payslips and tax declarations. Field staff — sales, service, delivery — rely on geofenced check-in from their phones and filing expense claims on the move. Factory and warehouse teams often punch in on biometric machines, but still need their attendance calendar, leave balance and payslips without visiting the HR desk.
Because PeopleVio runs in any browser and every punch method feeds the same record, all three groups use one portal. Employees who don't have smartphones can still check their records on any shared computer, and admins can always correct attendance from the team grid when needed.
How much HR time self-service saves
In a company of 50 people, HR typically fields dozens of small requests every month: payslip copies, leave balances, attendance questions, Form 16 in June, address changes, expense follow-ups. Each one takes only a few minutes, but together they can add up to days of work — and they interrupt everything else.
With self-service, employees answer most of these for themselves. Payslips and Form 16 are downloadable any time, balances and attendance are visible every day, and changes go through requests that HR approves in one queue rather than through separate conversations. HR's role moves from looking things up to approving and improving — which is a better use of everyone's time.
Self-service and data accuracy
Employee records go out of date quickly when only HR can update them: phone numbers change, people move house, emergency contacts change, bank accounts are switched. Letting employees request updates themselves keeps records current — and PeopleVio's approval step means nothing on the official record changes until an admin has checked it.
Accurate records matter beyond HR. Salary is paid to the right bank account, statutory filings use the right details, and in an emergency the right person is contacted. Self-service with approval gives you both: up-to-date data and control over it.
What admins still control
Self-service hands routine tasks to employees, but the rules stay with HR. In PeopleVio, company settings are admin-only: office timing, late grace and monthly allowance, weekly offs, geofenced office locations, biometric sources, leave quotas, TDS and offer-letter terms. Employees work within those rules; they can't change them.
Admins also decide who does what through roles — eight standard roles plus custom ones, each with view or manage access per section — and can see every administrative change in the audit log. When a new admin joins or someone changes role, the change applies immediately.
This balance is what makes self-service safe to roll out: employees get speed and visibility, and HR keeps control of policy, approvals and data.

Employee self-service portal — frequently asked questions
What can employees do in the self-service portal?
Check in, request attendance corrections, apply for leave and comp off, download payslips and Form 16, submit expenses and tax declarations, view assets, raise helpdesk tickets and request profile changes.
Can employees edit their own details?
They can request changes. Nothing is applied until an admin approves it.
Is there a mobile app?
Not yet. The portal is a responsive web app that works well from a phone browser, including geofenced check-in.
How do employees get access?
Admins add them by email; they receive a temporary password and must set their own at first login.
Can employees see their attendance and leave on the same calendar?
Yes. Each employee's month calendar shows present, late, absent, half-day, leave, holiday and weekly-off days in different colours, so they can see their attendance and leave together and raise a correction request if something looks wrong.
Who approves requests made through the portal?
Admins approve requests from a single pending-approvals queue on their dashboard. Roles decide who can approve what — for example, someone can approve leave without having access to payroll or recruiting.
Can employees download old payslips?
Yes. Employees can download payslips for any month that payroll has been run.
Can employees submit tax declarations in the portal?
Yes. They choose the old or new regime and declare investments and rent; HR approves or rejects the declaration.
Do employees need to install anything?
No. The portal works in any modern browser on phones, tablets and computers.
Can employees resign through the portal?
Yes. They submit a resignation with a last working day, and it takes effect once an admin approves it.
