Employee Onboarding Checklist (India, 2026): From Offer to the First 90 Days

A complete onboarding checklist for Indian companies — pre-joining, day 1, PF and ESI setup in week 1, documents to collect, and check-ins to day 90.

A new employee's first week decides a lot: whether they feel welcome, whether they get productive quickly, and — surprisingly often — whether they stay. In India, the first week also carries real compliance work: PF and ESI registration, documents for payroll, an appointment letter, tax declarations. Miss those, and you'll be fixing PF challans and TDS for months.

This guide gives you a complete employee onboarding checklist for India in 2026, from the day the offer is accepted to the end of the first 90 days: what HR does, what the employee does, what the manager does, the documents to collect, the compliance steps, and a ready-to-use checklist you can copy.

General guidance as of 2 October 2026. Adapt the checklist to your company, roles and state.

The short answer

Onboarding has five stages:

  1. Pre-joining (offer accepted → day 1): paperwork, accounts, equipment, welcome.
  2. Day 1: welcome, workspace, introductions, policies.
  3. Week 1: compliance registration, payroll setup, role training, first goals.
  4. First 30 days: regular check-ins, early feedback, culture.
  5. Days 30–90: goal review, probation feedback, confirmation path.

Each task should have an owner — HR, the manager, IT or the employee — and a due date, tracked in one place.

Why onboarding matters

  • Early exits are expensive. A hire who leaves in the first three months costs recruitment fees, training time and lost productivity.
  • Compliance starts on day one. PF and ESI apply from the date of joining; an appointment letter is required under the OSH Code; salary must be paid on time from the first month.
  • First impressions stick. A new hire with no laptop, no login and no plan on day one notices.

Stage 1: Pre-joining (offer accepted → day 1)

HR

  • Send a welcome email with the joining date, time, address, dress code and who to ask for.
  • Share the list of documents to bring (below).
  • Create the employee record with designation, department, manager and joining date.
  • Create the HRMS login and share access.
  • Prepare the appointment letter — see our appointment letter format.
  • Inform the manager, IT and admin of the joining date.

IT / admin

  • Laptop, email ID and system access ready.
  • ID card, access card and desk ready.
  • Add to company messaging and calendar.

Manager

  • Plan the first week: who the new hire meets, what they work on.
  • Assign a buddy.

Background verification

If you run background checks, start them after offer acceptance — with the candidate's written consent — and finish before or soon after joining. State in the offer letter that employment is subject to satisfactory verification.

Documents to collect

Store documents securely and limit access — Aadhaar and PAN are sensitive personal data, and you must handle them in line with data protection law.

Stage 2: Day 1

HR

  • Welcome and office tour (or virtual welcome for remote hires).
  • Collect and verify original documents; return originals.
  • Explain attendance — how to check in, office timings, grace period and late rules. See our late coming policy.
  • Explain leave, holidays and how to apply.
  • Share key policies: code of conduct, POSH, IT and data security, leave, expense reimbursement.
  • Get the appointment letter signed.

IT

  • Hand over laptop and accessories; record them as assigned assets.
  • Set up email, HRMS app and other tools.

Manager

  • Team introductions.
  • Explain the role, team goals and what success looks like in 90 days.
  • Lunch or coffee with the team.

Employee

  • Log into the HRMS; complete profile.
  • Upload ID proofs and bank details.
  • Add emergency contact.
  • Read and accept company policies.

Stage 3: Week 1 — compliance and payroll

This is the stage that most often slips — and the one with legal consequences.

PF

  • If the employee has a UAN, add them to your establishment with the existing UAN.
  • If not, generate a UAN through the EPFO employer portal.
  • Ensure Aadhaar, PAN and bank KYC are linked to the UAN.
  • Collect the declaration form for new members.
  • Record PF joining date = date of joining.

See PF calculation on salary.

ESI

  • If gross wages are within the ESI ceiling, register the employee on the ESIC portal — generally within 10 days of joining.
  • Share the e-Pehchan card / IP number.

See ESIC wage ceiling.

Payroll and tax

  • Set up the salary structure (basic, HRA, allowances) — see salary structure and the 50% rule.
  • Collect the tax regime choice and investment declaration.
  • Collect previous employer's income and TDS for the current FY, so TDS isn't under-deducted.
  • Register for professional tax in the employee's state if it's new for you.
  • Confirm the first salary will be prorated from the joining date.

Role

  • Training plan for systems and processes.
  • First tasks and first goals for the period.

Stage 4: First 30 days

  • Weekly check-ins with the manager for the first month.
  • HR check-in at day 15–30: "How's it going? Anything unclear?"
  • Buddy catch-ups.
  • Completion of mandatory training (POSH, security, product).
  • First salary paid on time, with a correct payslip — check it with the employee.

The first payslip is a moment of truth. A wrong PF deduction or missing salary component in month one erodes trust quickly.

Stage 5: Days 30–90

  • 30-day review — progress on first goals, feedback both ways.
  • 60-day check-in.
  • 90-day review — formal feedback, aligned with probation. See probation period rules.
  • Ask for onboarding feedback — what worked, what didn't — to improve the process.
  • Plan the path to confirmation.

Remote onboarding

For remote hires, add:

  • Ship the laptop to arrive before day 1, with tracking.
  • Video welcome with the team on day 1.
  • Clear check-in method (app, geofenced or work-from-home attendance).
  • A scheduled call with someone every day in week 1.
  • Professional tax and Shops Act registration in the employee's state.

Onboarding for different types of hires

  • Interns: stipend, internship letter, shorter checklist, but still POSH and data security briefings.
  • Contract workers via a contractor: the contractor handles PF/ESI; you still need site safety briefings and access, and should check the contractor's compliance.
  • Senior hires: more stakeholder meetings, a 30-60-90 day plan agreed with the CEO or leadership.
  • Rehires: shorter checklist; check UAN and previous records.

Common onboarding mistakes

  1. No laptop or login on day 1.
  2. PF and ESI registration delayed — contributions are due from the joining date, and late registration means arrears.
  3. Previous employer TDS not collected, leading to under-deduction and a tax demand on the employee.
  4. No appointment letter, or one signed weeks later.
  5. Policies not shared, so employees learn the rules through mistakes.
  6. No goals for the first 90 days.
  7. Manager absent in week 1.
  8. Checklist in someone's head, so steps get missed whenever that person is busy.

How PeopleVio helps with onboarding

What PeopleVio does:

  • Offer letters with salary breakup and your terms, accepted online with an email OTP, and converted into an employee record in one step.
  • Onboarding checklists — a company template copied to each new hire, with tasks assigned to HR or the employee (the default includes the welcome email, portal access, assets, payroll setup, ID proofs, bank details, emergency contact, policy acceptance and team introduction). Edit the template to match your process.
  • Employee self-service — new hires upload documents, add bank details and emergency contacts and complete their profile themselves.
  • Asset assignment — record the laptop, ID card and other assets issued.
  • PF and ESI details on the employee record — UAN, member ID, previous UAN — with PF and ESI calculated in payroll from the joining date.
  • Tax declarations — new hires choose their regime and declare investments.
  • Attendance and leave from day 1, with prorated salary in the first payroll.
  • Goals for the first period, and probation settings that apply to optional holidays.

What PeopleVio doesn't do (yet): it doesn't generate UANs or register employees on the ESIC portal, run background verification or schedule 30/60/90-day check-ins. Do those on the respective portals and calendars, and record the results in PeopleVio.

Frequently asked questions

What is an employee onboarding checklist? A list of tasks — with owners and due dates — that takes a new hire from offer acceptance to being fully productive, including paperwork, compliance, equipment, training and check-ins.

What documents are needed for onboarding in India? PAN, Aadhaar, bank details, previous UAN and ESI number (if any), relieving letter, previous payslips or Form 16 for the current year, educational certificates, photographs, address proof and nomination forms.

When should PF be registered for a new employee? PF applies from the date of joining. Add the employee to your establishment (with their existing UAN or a new one) in the first month so contributions start on time.

How long does onboarding take? The core paperwork takes the first week; full onboarding usually runs for the first 90 days.

What should happen on an employee's first day? A welcome, workspace and equipment ready, introductions, an explanation of attendance and leave, key policies, and a clear plan for the first week.

How do you onboard remote employees? Ship equipment before day 1, run a video welcome, set up check-in, schedule daily calls in week 1, and handle state-specific registrations.

Does PeopleVio have onboarding checklists? Yes. You set a company onboarding template, and each new hire gets a checklist with tasks for HR and the employee, alongside offer letters, documents, assets and payroll.

The bottom line

Great onboarding is a checklist done on time: paperwork before day 1, a real welcome on day 1, PF, ESI and payroll set up in week 1, and regular check-ins through the first 90 days. Put it in one system with clear owners, and every new hire gets the same good start.

Onboarding on email and WhatsApp? PeopleVio turns accepted offers into employee records with onboarding checklists, documents, assets, PF/ESI details and payroll in one place. See PeopleVio's pricing or book a demo.
