HRMS Software for Hospitals and Clinics in India (2026)

Round-the-clock shifts, night duty, visiting consultants and multiple sites: what a hospital or clinic should check in an HRMS, and where PeopleVio fits and doesn't.
A hospital or clinic never really closes. Doctors, nurses, technicians, front-desk staff and housekeeping work in rotating shifts, night duty is routine, and a single missed roster can mean an unattended ward. HR software chosen for an office team tends to fail here, not because of payroll, but because of how work is scheduled and how attendance is proved.
This guide covers what a hospital, nursing home, diagnostic centre or clinic chain in India should check in an HRMS, and where PeopleVio fits and doesn't. Because this industry leans heavily on shifts, the honest section matters more than usual, so read it before shortlisting.
What's different about HR in healthcare
- Round-the-clock shifts. Morning, evening and night rosters, with rotations and swaps that change weekly.
- Many staff types. Consultants, resident doctors, nurses, lab technicians, front-office staff, housekeeping and security, each with different pay structures and rules.
- Night duty and extra-duty pay. Night allowances, on-call duty and emergency cover are part of normal pay.
- Visiting and part-time consultants. Some are paid a fixed monthly amount and others per visit or per case.
- Multiple sites. A main hospital, satellite clinics, collection centres or several branches.
- Credentials and documents. Licences, registrations and certificates need to be on record and current.
- Equipment and supplies. Devices, tablets and monitors issued to staff need tracking.
What to prioritize
- Shift and roster management. This is the make-or-break requirement for most hospitals. If your wards run on rosters, the platform must plan them, not just record attendance after the fact.
- Attendance that proves presence at the right site. A check-in should count only at the campus or branch where the person works.
- Handling of night duty and extra duty. Extra pay or a day off, tracked in the system.
- Flexible pay structures. Fixed salaries for some staff, per-visit or variable amounts for others.
- Document storage. Registrations, certificates and identity documents stored against each employee.
- Approvals that suit a 24x7 operation. Managers approve from wherever they are, at any hour.
- Multi-site support. Attendance and reporting across branches.
How the main options fit a healthcare organisation
| Platform | Fit for a hospital or clinic |
|---|---|
| Keka | Strong for larger organisations with a proper HR team; more configuration than a single clinic needs |
| greytHR | Long-established in India with a compliance focus, used across many kinds of organisations |
| Zoho People | A natural fit if you already use Zoho; payroll is sold separately, so compare the combined cost |
| HROne | Positioned for larger workforces, worth a look for hospital groups |
| PeopleVio | Fits clinics and smaller hospitals that mainly need attendance, leave, payroll, documents and assets in one portal, with the shift limits described below |
Where PeopleVio fits a healthcare organisation
- Geofenced attendance per site. Add the hospital and each branch as a location with its own radius. The server measures the distance from the coordinates the phone sends and accepts or rejects the check-in, so it can't be faked from the device alone. Our geofenced attendance guide explains how it works.
- Comp off for holiday and weekend duty. A staff member who worked a holiday or a weekly off requests a compensatory day. Once approved, they redeem it on a date they choose.
- Custom pay components. Night allowance, on-call pay, per-visit consultant fees or incentive amounts can be added per employee for any month, alongside the Basic, HRA and allowances structure.
- Payroll and payslips. One-click monthly payroll prorated for attendance, with downloadable PDF payslips.
- Employee documents. Categorised documents (Education, Identity, Certifications and more) with drag-and-drop upload, useful for registrations and licences.
- Leave with running balances. Casual, Sick and Paid leave, an approval queue and cancellation of pending requests.
- Asset management. Issue tablets, laptops or devices to staff, mark them returned or sent for repair, with a history on each.
- Expense claims into payroll. Approved claims are added to the next payroll run as a reimbursement.
- Org chart and admin grid. A reporting hierarchy from department heads to staff, and a team-wide attendance grid an admin can review and correct.
An honest note on what PeopleVio doesn't do
This is the section to read carefully if you run wards or a 24x7 service.
- No shift scheduling or roster planning. There is no rotating roster, shift swap or duty planner. If your operation depends on rosters, that planning needs a tool built for it, and it would sit outside PeopleVio.
- No shift-aware attendance rules. Attendance follows a configured office timing with a late grace period and weekly off days. Night shifts that cross midnight and staff on different timings are not modelled as separate shifts.
- No overtime module. Extra duty is handled through comp off or custom pay components, not automatic overtime rules.
- Biometric is machine-based. A ward or clinic terminal can send punches to PeopleVio if it is one of the ZKTeco-protocol machines (ZKTeco, eSSL, Realtime, Mantra and similar) with Cloud Server (ADMS) push, or can post through the API, but there is no shift-aware logic on top of the punches. Otherwise staff use geofenced check-in from a phone browser.
- No installable mobile app. It is a responsive web app, so check-in and approvals work from a phone browser.
- Two-tier approvals. An employee submits and an admin or manager reviews. It isn't built for chains through several layers.
- Statutory filings. Salary structures, INR payslips and Indian holiday calendars are built in. Confirm exactly how your PF, ESI and Professional Tax obligations would be handled before you commit, whichever vendor you choose.
In practice: if you run a clinic, a diagnostic centre or a hospital where most staff work fixed hours, PeopleVio can be a good fit. If your wards run on rotating rosters, you will likely need a platform with roster management built in, or you will run the roster separately and use PeopleVio for records, leave and payroll.
A worked example: a 45-person clinic and diagnostic centre
Suppose a clinic has 8 doctors (some visiting), 12 nurses and technicians, 10 front-desk and billing staff, and 15 support staff, across one clinic and one collection centre.
- Attendance: two geofenced locations, each with its own radius, so check-ins count only at the right site.
- Payroll: fixed salaries for staff, and per-visit consultant fees and night allowance added as custom pay components in the relevant month.
- Documents: each doctor's and technician's registration and certificates uploaded against their record.
- Cost: at 45 employees the 26 to 100 band applies, ₹49 per employee per month on monthly billing (₹41 on yearly). That is about ₹2,205 a month, or ₹1,845 a month billed yearly, with all modules included. The band rate applies to your total active employee count, so check the pricing page for current numbers.
Common mistakes when a healthcare organisation picks an HRMS
- Ignoring rosters until after purchase. Decide first whether you need roster planning. It changes the whole shortlist.
- Treating all staff the same. Consultants, nurses and support staff have different pay rules, so test each type in a trial.
- Leaving documents in folders. Licences and registrations that expire unnoticed are a compliance risk.
- Not defining extra-duty pay. Agree how night and on-call duty are paid, and whether comp off applies, before go-live.
- Skipping a parallel payroll run. Run the new system next to the old one for a cycle and compare every payslip, especially variable pay.
Frequently asked questions
Does an HRMS for a hospital need shift management? If your wards or departments run on rotating rosters, yes. PeopleVio does not have shift scheduling, so hospitals that need it should shortlist platforms that do, or run rosters separately.
Can PeopleVio handle night shifts? Not as a separate shift type. Attendance follows a configured office timing, so night rosters that cross midnight are not modelled. Check this against your operation before shortlisting.
How do we pay visiting consultants per visit? Add a custom pay component for the consultant in the relevant month, and it appears in that month's payroll and payslip.
Can we store doctors' licences and certificates? Yes. Employee documents can be uploaded by category (Education, Identity, Certifications and more) against each employee's record.
Can we use it across a hospital and its branches? Yes. Admins can add several locations, each with its own radius, and check-ins are validated against the configured sites.
How much does an HRMS cost for a 100-person hospital? On PeopleVio, 100 employees falls in the 26 to 100 band at ₹49 per employee per month (₹41 yearly), so about ₹4,900 a month on monthly billing. Compare total cost, including any separately sold payroll module, for every vendor.
Is there a mobile app for nurses and technicians? There is no installable app yet. PeopleVio is a responsive web app, so staff check in and apply for leave from a phone browser.
Can PeopleVio replace hospital management software? No. It is an HR system for staff. It has no patient records, billing or appointment features.
The bottom line
For a healthcare organisation, the deciding question is shifts. If your staff work fixed hours, PeopleVio gives you multi-site attendance, comp off, flexible pay components, documents and payroll at a flat per-employee price. If your wards run on rotating rosters, shortlist platforms with roster management, and test every option with your real shift pattern before you decide.
