HRMS Software for Restaurants and Hotels in India (2026)

Many small outlets, shift rosters, festival rushes and service-charge pay: what a restaurant or hotel business should check in an HRMS, and where PeopleVio fits and doesn't.
A restaurant, cafe or hotel runs on people who are rarely at a desk and rarely on the same schedule. Kitchen staff, servers, cashiers, housekeeping and front-desk teams work split shifts, weekends and festival rushes. Turnover is high, so hiring and exits happen all year, and pay often includes service charge, incentives and meal or stay benefits on top of a modest base. An HRMS designed around nine-to-six office work fits this poorly.
This guide covers what a restaurant group, cafe chain, cloud kitchen or hotel in India should check in an HRMS, and where PeopleVio fits and doesn't. Hospitality relies heavily on shift planning, which PeopleVio does not do, so the honest section deserves a careful read.
What's different about HR in restaurants and hospitality
- Many small outlets. Five outlets with 15 people each is a different problem from one office with 75.
- Shifts and split duties. Opening, closing, split shifts and weekend rosters change week to week.
- Peak-day work. Festival seasons, weekends and events are the busiest days, and staff often work weekly offs and holidays.
- High turnover. Frequent joiners and leavers make onboarding, offer letters and exits a constant routine.
- Variable pay. Service charge, tips where applicable, incentives, overtime pay and meal or stay benefits sit alongside the base salary.
- Outlet managers as the real HR. Leave, attendance corrections and expense claims start with the person running the floor.
- Small assets everywhere. Uniforms, handhelds, POS devices and keys need a record.
What to prioritize
- Attendance tied to each outlet. A check-in should count only at the outlet where the person works, or through a machine at the staff entrance.
- Shift planning, if your rosters change weekly. Decide early whether you need software that plans shifts or only records attendance.
- Handling of weekend and holiday work. A tracked day off in lieu, or extra pay, rather than a verbal promise.
- Variable pay in payroll. Service charge, incentives and allowances added per person per month.
- Fast hiring and exits. Offer letters and resignation flows that don't need a week of paperwork.
- Approvals that outlet managers will use from a phone.
- Pricing that scales with outlets. Check what the price looks like at 150 and 300 people, not just today.
How the main options fit a restaurant or hotel business
| Platform | Fit |
|---|---|
| Keka | Strong for larger groups with a proper HR team; more configuration than a small chain needs |
| greytHR | Long-established in India with a compliance focus, common in multi-branch businesses |
| Zoho People + Zoho Payroll | Fits if you already use Zoho; payroll is sold separately, so compare the combined cost |
| Zimyo, Qandle | Broader suites that list shift rosters and biometric integration, at higher price points |
| PeopleVio | Fits chains that want attendance, leave, payroll with variable pay, expenses, offer letters and assets in one portal at a flat per-employee price, with the limits below |
Where PeopleVio fits a restaurant or hotel business
- Outlet-level attendance. Add each outlet as a location with its own radius. The server measures the distance from the coordinates the phone sends, so a check-in counts only at the right outlet. See our geofenced attendance guide.
- Biometric machines at the staff entrance. Machines that use the ZKTeco protocol (ZKTeco, eSSL, Realtime, Mantra and similar) push punches live through Cloud Server (ADMS), with an API and CSV import for other setups. See our connection guide.
- Comp off for weekend and festival work. A staff member who worked a holiday or weekly off requests a compensatory day, and redeems it once approved.
- Service charge, incentives and allowances as custom pay components. Add them per employee for the month, on top of the Basic, HRA and allowance structure, unprorated.
- Payroll prorated for attendance, with PDF payslips emailed to each employee.
- Leave with running balances, including half-day leave and an approval queue.
- Offer letters and resignations. Draft, release and track offers with an email-OTP-verified accept or decline page, and run an employee-initiated, admin-approved resignation flow. Useful when hiring and exits happen all year.
- Expense claims into payroll. Outlet managers submit claims for local purchases with receipts, and approved claims are added to the next payroll run.
- Asset management. Track uniforms, handhelds, POS devices and keys, with issue, return, repair and retirement history.
- Optional auto-absent. If you switch it on, past working days with no attendance record count as unpaid, and weekly offs, holidays, leave and comp-off days never do.
- A company-wide view. An admin grid shows attendance across outlets for the month, with manual correction and an hours report exported as CSV.
An honest note on what PeopleVio doesn't do
Hospitality depends on scheduling, so this is where the gaps show:
- No shift scheduling or roster planning. There is no rotating roster, split-shift planner or shift swap. If your outlets plan shifts weekly, you will do that planning outside PeopleVio.
- No shift-aware attendance rules. Attendance follows a configured office timing with a late grace period. Split shifts and overnight shifts that cross midnight are not modelled separately.
- No overtime calculation. Extra work on a weekly off goes through comp off or a custom pay component, and other extra pay is entered manually.
- No service-charge or tip pooling. You calculate the amount elsewhere and add it as a pay component.
- No Professional Tax. PF and ESI are calculated in payroll with the EPFO and ESIC modules, which also generate the ECR and ESIC return files; Professional Tax stays with your accountant or a separate tool.
- Only the first and last punch of a day count. Split-shift breaks aren't tracked.
- No installable mobile app. It is a responsive web app, so staff and managers use a phone browser.
- Two-tier approvals. An employee submits and an admin or manager reviews.
If rotating rosters, split shifts and overtime are central to how you operate, look for a platform with scheduling built in. If your staff mostly work fixed hours at each outlet and your main needs are attendance, leave, variable pay and hiring, PeopleVio covers the essentials.
A worked example: a 6-outlet cafe chain with 80 staff
Suppose a chain has 6 outlets with about 12 staff each, plus an 8-person head office.
- Attendance: 7 locations, each with a small radius so a check-in counts only at the right outlet, and outlet managers approve leave and comp off for their teams.
- Payroll: one monthly run, with incentives and service charge added as custom pay components and PDF payslips emailed to staff.
- Hiring: offers go out through the portal with verified acceptance, and accepted offers become employee records.
- Assets: uniforms, handhelds and POS devices are tagged and assigned, so exits start with what to collect.
- Cost: at 80 employees the 26 to 100 band applies, ₹49 per employee per month on monthly billing (₹41 on yearly). That is about ₹3,920 a month, or ₹3,280 a month billed yearly, with all modules included. The band rate applies to your total active employee count, so check the pricing page for current numbers.
Common mistakes when a hospitality business picks an HRMS
- Deciding on shifts after buying. Settle whether you need roster planning first, because it changes the whole shortlist.
- Testing with one outlet. Set up at least three outlets, including one with a small radius, and check in from inside and outside each.
- Forgetting the outlet manager's experience. If approving on a phone is slow, they'll go back to WhatsApp.
- Treating festival work as an afterthought. Decide how comp off or extra pay works before the next peak season.
- Ignoring joiners and leavers. With high turnover, offer and exit flows are used every week, so test them.
- Skipping a parallel payroll run. Run the new system next to the old one for a cycle and compare every payslip, especially variable pay.
Frequently asked questions
Does an HRMS for a restaurant need shift scheduling? If your rosters change weekly, yes. PeopleVio has no shift scheduling, so chains that need it should choose a platform with rosters or plan shifts separately.
Can PeopleVio handle attendance across many outlets? Yes. Admins can add several locations with their own radius, and check-ins are validated on the server against the configured sites. Outlets with a biometric machine can push punches through Cloud Server (ADMS).
How do we pay service charge and incentives? Add them as custom pay components for the employee in the relevant month. They appear on that month's payslip and aren't prorated for attendance.
How does PeopleVio handle staff who work festivals and weekends? Through comp off. An employee requests a compensatory day for working a holiday or weekly off, an admin approves it, and the employee redeems it on a date of their choice.
Does it work for hotels and housekeeping teams? For fixed-hours staff, yes. Hotels with rotating 24-hour shifts need roster planning, which PeopleVio doesn't provide.
How much does an HRMS cost for a 150-person hospitality business? On PeopleVio, 150 employees falls in the 101 to 300 band at ₹39 per employee per month (₹33 yearly), so about ₹5,850 a month on monthly billing. Compare total cost, including any separately sold payroll module, for every vendor.
Is there a mobile app for outlet staff? There is no installable app yet. PeopleVio is a responsive web app, so staff check in and managers approve from a phone browser.
Can we track POS devices and uniforms? Yes. Asset management lets you issue equipment to an employee, mark it returned, send it for repair or retire it, with a history on each item.
The bottom line
For a restaurant or hotel, the deciding question is shifts. If your outlets run on fixed hours, PeopleVio gives you outlet-level attendance, comp off for peak-day work, variable pay, fast hiring and asset tracking at a flat per-employee price. If your operation depends on rotating rosters and overtime, shortlist platforms with scheduling built in, and test every option with your real outlets before you decide.
