HRMS Software for Retail Businesses in India (2026)

Many small stores, weekend and festival work, store managers as approvers and high turnover: what a retailer should check in an HRMS, and where PeopleVio fits and doesn't.
A retail business runs on a rhythm that most HR software ignores: stores that open seven days a week, staff who cover for each other, weekends that are the busiest days rather than days off, and a store manager who is effectively the HR department for everyone in the building. Add high staff turnover and a head office that wants one clean view of every store, and "any HRMS will do" stops being true.
This guide covers what a retail chain or multi-store business in India should check in an HRMS, and where PeopleVio fits and doesn't.
What's different about HR in retail
- Many small locations. Ten stores with 8 to 15 people each is a very different problem from one office with 120 people. Attendance, leave and approvals all happen at store level.
- Weekend and holiday work is the norm. Festival seasons and sale weekends are peak trading days. Staff work weekly offs and holidays, and the business owes them a day back.
- The store manager is the approver. Leave, attendance corrections and expense claims start with the person on the shop floor, not with a distant HR team.
- High turnover. Frequent joiners and leavers mean onboarding, offer letters and resignations run all year, not once a quarter.
- Small, variable pay components. Sales incentives, festival bonuses and target-based commissions ride on top of a modest fixed salary.
- Stock and equipment. Billing devices, handheld scanners, uniforms and store laptops are issued to people and need tracking.
What to prioritize
- Attendance tied to each store. A check-in should count only when the employee is physically at their store, and it should work with several locations, each with its own radius.
- A simple approval path for managers. Store managers are busy and often not desk workers. Approving a leave or a comp off should take seconds, from a phone.
- Handling of weekend and holiday work. Comp off or extra pay, but tracked in software and not agreed verbally.
- Variable pay in payroll. Incentives and bonuses added per employee without breaking the salary structure.
- Fast onboarding and offboarding. Offer letters, employee records and resignation flows that don't need a week of paperwork.
- Pricing that works for many small teams. Retail headcount grows by adding stores. Check what the price looks like at 150 and 300 people, not only today.
How the main options fit a retail business
| Platform | Fit for a retail business |
|---|---|
| Keka | Strong for larger retail organisations with formal HR teams; more configuration than a small chain needs |
| greytHR | Long-established in India with a compliance focus, common in multi-branch businesses |
| Zoho People | Fits if you already use Zoho; payroll is sold separately, so compare the combined cost |
| HROne | Positioned for larger workforces, worth a look once you pass a few hundred employees |
| PeopleVio | Fits chains that want attendance, leave, payroll, expenses, offer letters and assets in one portal at a flat per-employee price, with the limits below |
Where PeopleVio fits a retail business
These are built and relevant to how stores actually work:
- Geofenced attendance for every store. Add each store as a location with its own radius. The employee's coordinates go to the server, which measures the distance itself and accepts or rejects the check-in, so it can't be faked from the phone alone. Our geofenced attendance guide explains how this works.
- Comp off for weekend and festival work. An employee who worked a weekly off or a holiday requests a compensatory day. Once approved, they redeem it against a date they choose.
- Leave with running balances. Casual, Sick and Paid leave balances, an approval queue, and cancellation of pending requests.
- Variable pay as custom components. Add incentives, commissions or festival bonuses on top of the salary structure for any employee, in any month.
- Expense claims into payroll. A manager's local travel or store purchase is approved once and swept into the next payroll run.
- Offer letters and resignations. Draft, release and track offer letters with a candidate-facing accept or decline page and PDF generation. Resignation is employee-initiated and admin-approved, and the employee is marked inactive automatically once approved. Useful when hiring and exits happen all year.
- Asset management. Issue handhelds, scanners and laptops to an employee, mark them returned or sent for repair, with a full history for each.
- Company-wide view. An admin grid shows the whole company's attendance for the month, and the hours report exports hours worked per employee as CSV.
An honest note on what PeopleVio doesn't do
- No shift scheduling. There is no rotating-shift roster or store-wise duty planner. If you plan staff shifts by day and store, that planning happens outside PeopleVio.
- Biometric is machine-based. A store-door terminal can send punches to PeopleVio if it is one of the ZKTeco-protocol machines (ZKTeco, eSSL, Realtime, Mantra and similar) that supports Cloud Server (ADMS) push, or can post through the API. Otherwise staff use geofenced check-in from a phone browser.
- No installable mobile app. It is a responsive web app, so store staff check in and managers approve from a phone browser.
- No overtime module. Extra work on a weekly off is handled through comp off, and other extra pay goes through custom pay components.
- Two-tier approvals. An employee submits and an admin reviews. It isn't built for chains that must pass through a store manager, an area manager and a regional head in sequence.
- Statutory filings. Salary structures, INR payslips and Indian holiday calendars are built in. Confirm exactly how your PF, ESI and Professional Tax obligations would be handled before you commit, whichever vendor you choose.
If your stores run on tight shift rosters, a platform built around workforce scheduling may serve you better. If your staff work fixed store hours and check in by phone, PeopleVio fits well.
A worked example: a 12-store, 90-person retail chain
Suppose a chain has 12 stores with about 7 people each, plus a 6-person head office.
- Attendance: 13 geofenced locations, each with a small radius so a check-in only counts at the right store.
- Approvals: store managers are set up as approvers for their team's leave and comp off, so requests don't queue at head office.
- Payroll: one monthly run, with sales incentives and festival bonuses added as custom pay components.
- Cost: at 90 employees the 26 to 100 band applies, ₹49 per employee per month on monthly billing (₹41 on yearly). That is about ₹4,410 a month, or ₹3,690 a month billed yearly, with all modules included. The band rate applies to your total active employee count, so check the pricing page for current numbers.
Common mistakes when a retailer picks an HRMS
- Testing with one location. Set up at least three stores in the trial, including one with a small radius, and try check-ins from inside and outside each.
- Forgetting the manager's experience. If the store manager finds approvals slow on a phone, they will go back to WhatsApp.
- Treating weekend work as a payroll afterthought. Decide how comp off or extra pay is handled before go-live.
- Ignoring joiners and leavers. With high turnover, onboarding and exit steps are used every week, so test them, not only the monthly payroll.
- Skipping a parallel payroll run. Run the new system next to the old one for a cycle and compare each payslip.
Frequently asked questions
Can an HRMS handle attendance across many small stores? Yes, if it supports multiple locations with their own radius. PeopleVio lets admins add several locations and validates each check-in on the server against the configured sites.
How should retail staff who work Sundays and festival days be handled? Through comp off or extra pay. On PeopleVio, an employee requests a compensatory day for working a weekly off or holiday, an admin approves it, and the employee redeems it on a date of their choice. Extra pay can be added as a custom pay component.
Does PeopleVio support shift rosters for store staff? Not currently. There is no shift scheduling module, so stores that run rotating shifts should plan rosters elsewhere or choose a platform with scheduling built in.
Can store managers approve leave without going through head office? The approval model is employee submits and an admin or manager reviews. Confirm in a trial that your store managers can approve for their own team, and set them up before go-live.
How do we pay sales incentives in PeopleVio? Add a custom pay component (an earning) for the employee in the relevant month. It is included in that month's payroll and payslip.
How much does an HRMS cost for a 150-person retail business? On PeopleVio, 150 employees falls in the 101 to 300 band at ₹39 per employee per month (₹33 yearly), so about ₹5,850 a month on monthly billing. Compare total cost, including any separately sold payroll module, across every vendor on your list.
Is there a mobile app for store staff? There is no installable app yet. PeopleVio is a responsive web app, so employees check in and managers approve from a phone browser.
Can we track billing devices and scanners in the HRMS? Yes. Asset management lets you issue equipment to an employee, mark it returned, send it for repair or retire it, and keeps a history on each item.
The bottom line
For a retailer, the decision comes down to how attendance is verified store by store, how easy approvals are for busy managers, and how weekend and variable pay are handled. PeopleVio is a strong fit for multi-store businesses that want attendance, comp off, payroll, expenses, offer letters and assets in one place at a flat per-employee price. If your operation needs shift rosters, shortlist platforms built around them, and test every option with your real stores before you decide.
