PF and ESI Return Filing Software in India (2026): ECR and ESIC Monthly Return Without the Spreadsheet

Two returns, one deadline: the PF ECR and the ESIC monthly return. What goes into each, where they fail, what a delay costs, and what return filing software should do for you.

Every month, before the 15th, an Indian employer with PF and ESI has to do the same two jobs: file the PF return (the ECR) and pay the challan on the EPFO portal, and file the ESIC monthly contribution return and pay that challan on the ESIC portal. Miss the date and interest starts running. Upload a file with one wrong UAN and the whole ECR bounces.

Most small companies do this in a spreadsheet the night before the deadline. This guide explains exactly what goes into both returns, where they usually go wrong, and what PF and ESI return filing software should do for you — with an honest note on what no software can do.

Rules and formats below are as of 29 September 2026. EPFO and ESIC change their portals and file formats from time to time, so compare any file with the portal's current template before your first upload.

Both returns come from the same place: your payroll for the month. That's the key to getting them right. If the return is built from a different spreadsheet than the payslips, sooner or later the two won't match.

Part 1: the PF return (ECR)

What's in an ECR file

The ECR 2.0 format is a plain text file with one line per member and no header row. Each line has 11 fields separated by #~#:

  1. UAN
  2. Member name (as in the UAN record)
  3. Gross wages
  4. EPF wages
  5. EPS wages
  6. EDLI wages
  7. EPF contribution — the employee's share
  8. EPS contribution — the employer's pension share
  9. EPF-EPS difference — the rest of the employer's share
  10. NCP days — non-contributory days (unpaid days)
  11. Refund of advances

A line for an employee earning a basic of ₹12,000 with no unpaid days looks like this:

101234567890#~#AARAV MEHTA#~#20000#~#12000#~#12000#~#12000#~#1440#~#1000#~#440#~#0#~#0

The employee pays 12% of ₹12,000 = ₹1,440. The employer's ₹1,440 is split: 8.33% (₹1,000) to the pension fund and the remaining ₹440 to EPF.

The numbers behind each line

  • EPF wages are basic plus dearness allowance (plus any other components your company counts) as earned for the month, after loss of pay.
  • The wage ceiling is ₹25,000 a month from 17 September 2026 (it was ₹15,000). Contributions are usually calculated on wages up to the ceiling, unless the company contributes on full wages.
  • EPS wages are capped at the ceiling and are zero for members who aren't in the pension scheme or are 58 or older.
  • EDLI wages are capped at the ceiling; the employer pays 0.5% towards EDLI.
  • Admin charges of 0.5% of EPF wages (minimum ₹500 a month) are paid with the challan, not per employee.
  • NCP days are the days in the month the employee wasn't paid for, including days before joining or after leaving.

The filing steps on the EPFO portal

  1. Log in to the Unified Portal as the employer.
  2. Go to Payments → ECR upload, choose the wage month, and upload the text file.
  3. The portal validates it. Errors come back per line — fix them and re-upload.
  4. Verify the summary and prepare the challan.
  5. The portal generates a TRRN (the challan reference). Pay online by the 15th.
  6. Keep the payment receipt against the month.

Where ECRs usually fail

  • Missing or wrong UAN. Every member needs an active UAN before they can go into an ECR.
  • Name mismatch. The name should match the UAN record. Extra characters and spelling differences cause trouble.
  • EPS wage higher than EPF wage, or EPS wage above the ceiling.
  • EPS share that isn't 8.33% of EPS wages. Usually a rounding or ceiling mistake.
  • NCP days more than the days in the month.
  • Duplicate members — the same employee twice, or the same UAN on two people.
  • Changes after upload. Someone re-runs payroll after the ECR was generated, and the file no longer matches the payslips.

Arrears

When a salary revision is paid backdated, the extra PF isn't squeezed into the current month's ECR. EPFO takes arrears through a separate arrear ECR, with the arrear EPF, EPS and EDLI wages and the matching shares for each member.

Part 2: the ESI return (MC file)

For each insured person the monthly contribution return lists:

  • IP number
  • Name
  • Number of days for which wages were paid
  • Total monthly wages
  • Reason code when the days are zero (for example, left service)
  • Last working day, for someone who left

You can type rows on the ESIC portal or upload them as an Excel 97-2003 (.xls) file with every cell formatted as text. Save as .xlsx, or leave numbers as numbers, and the upload is likely to fail.

The ESI rules that trip people up:

  • Ceiling ₹21,000 (₹25,000 for persons with disability).
  • Coverage is decided per contribution period (April–September, October–March). Someone covered in April stays covered until September even after a raise.
  • Employees on an average daily wage of ₹176 or less don't pay the employee share; the employer still does.
  • Days are paid days, after loss of pay.

For the full detail, see our guide to the ESIC wage ceiling in 2026.

What late filing really costs

Both PF and ESI charge interest for late payment, and PF also charges damages that increase with the length of the delay.

A worked example. A company's PF challan for August wages is ₹1,20,000, due on 15 September. It's paid on 15 October, 30 days late.

  • Interest under section 7Q at 12% a year: 1,20,000 × 12% × 30 / 365 = ₹1,184
  • Damages under section 14B at 5% a year (the rate for delays under two months): 1,20,000 × 5% × 30 / 365 = ₹493
  • About ₹1,677 for one month's delay — and damages rise to 10%, 15% and 25% a year as the delay grows.

EPFO sets the actual amounts by order, but the direction is clear: a reminder on the 10th is worth far more than it costs.

What good PF and ESI return software should do

Use this as a checklist when you evaluate tools:

  1. Calculate in payroll, not after it. The deduction on the payslip and the amount in the return must come from the same calculation.
  2. Keep statutory rules versioned. The PF ceiling moved in September 2026. Old months must keep the old rules; new months must use the new ones, without a developer.
  3. Handle the hard cases: loss of pay, mid-month joining and exits, EPS for members above 58, non-EPS members, international workers, VPF, and the ESI contribution period rule.
  4. Validate before generating files: UANs and IP numbers, duplicates, EPS limits and shares, day counts.
  5. Produce portal-ready files: ECR 2.0 text, arrear ECR, ESI .xls with text cells.
  6. Freeze the month. After you finalise, payroll for that month shouldn't change silently.
  7. Track challans and payments — TRRN, ESI challan number, payment date — and lock the month once paid.
  8. Warn you before the deadline, and tell you what a delay would cost.
  9. Bulk-load UANs, member IDs, IP numbers and KYC from Excel, so setup takes an afternoon, not a week.
  10. Keep an audit log of every statutory change.

How PeopleVio handles PF and ESI returns

PeopleVio runs attendance, leave and payroll, and its EPFO and ESIC modules sit inside that payroll:

  • One payroll run, three outputs: payslips with PF, VPF and ESI deductions; a monthly PF ledger; and a monthly ESI ledger.
  • PF rules by effective date, including the ₹25,000 ceiling from 17 September 2026, EPS at 8.33% within the ceiling, EDLI, admin charges, VPF, the 58+ rule and international workers. Contribution on the ceiling or on actual wages is a company setting.
  • ESI with the contribution-period rule, the disability ceiling and the ₹176 exemption.
  • Attendance-aware: loss of pay, joining and leaving mid-month flow into wages, NCP days and ESI days.
  • Finalise the month, then generate the ECR 2.0 file and the ESI monthly return (.xls) after validation. Regenerating keeps earlier versions for your records.
  • Arrear ECR from approved arrear adjustments, with a maker-checker approval.
  • Challans: PF challan heads (A/c 1, 2, 10 and 21) from the ledger, TRRN and payment tracking, ESI challan number and payment. Once both are paid, the payroll month locks.
  • Reminders before the 15th on the dashboard and by email, with estimated interest and damages if you're late.
  • Bulk import of UAN, member ID, KYC and coverage from Excel.
  • Reports — monthly PF, employee PF statement, summaries, missing UAN, KYC pending — as CSV or PDF, and an audit log of every change.

What PeopleVio doesn't do

  • It doesn't upload files or pay challans on the portals. EPFO and ESIC don't offer public APIs for this. PeopleVio produces the files and records the TRRN and payment; the upload and payment happen on the portals.
  • It doesn't create UANs or IP numbers. Registration happens on the EPFO and ESIC portals; you record the numbers in PeopleVio.
  • It doesn't handle Professional Tax or Labour Welfare Fund, PF withdrawals and transfers, or EPFO and ESIC inspections.
  • Check the file format once. Before the first upload, compare the generated ECR and ESI files with the portals' current templates. Portals change formats occasionally, and a one-time check is cheaper than a rejected return.

The EPFO and ESIC modules are switched on for your workspace when you ask for them.

Frequently asked questions

What is the due date for PF and ESI returns? The 15th of the month following the wage month, for both. Late payment attracts interest, and PF also attracts damages that increase with the delay.

What format does the EPFO accept for the ECR? ECR 2.0: a text file with one line per member and 11 fields separated by #~#, starting with the UAN. There's no header row.

What format does the ESIC portal accept for the monthly return? Rows typed on the portal, or an Excel 97-2003 (.xls) upload with every cell formatted as text.

Can software file PF and ESI returns directly on the portals? Not for most employers — EPFO and ESIC don't offer public filing APIs. Good software generates validated files and tracks the challan; you upload and pay on the portals.

How do we file PF on backdated salary arrears? Through a separate arrear ECR, with arrear wages and the matching shares for each member, not by adding the arrears to the current month's ECR.

What happens if an employee has no UAN? They can't be included in the ECR until a UAN is generated and linked. Good software flags them before you generate the file.

Is PF mandatory for every employee? For covered establishments, employees within the wage ceiling must be enrolled. Employees above the ceiling who were never PF members can be treated as excluded employees, unless the company chooses to cover them. Check your specific situation with a consultant.

Does PeopleVio calculate PF and ESI in payroll? Yes, when the EPFO and ESIC modules are enabled for your workspace. PF, VPF and ESI are deducted in the payroll run and shown on payslips, and the ECR and ESI return files are generated from the same numbers.

The bottom line

PF and ESI returns aren't hard because the rules are complicated — they're hard because they're built from a second copy of payroll, under deadline pressure, every single month. Software that calculates contributions inside payroll, validates before generating the files, and locks the month once it's paid removes most of the risk.

If you're still building your ECR in a spreadsheet, see PeopleVio's pricing or get in touch — we'll set up a workspace with the EPFO and ESIC modules switched on so you can run one month in parallel and compare the files.
